POSITION: Part-Time Secretary for the Doctor of Education in Leadership and Gifted and Talented Programs (Non-Exempt)

LOCATION:  Abilene, TX

START DATE:  As soon as possible

SUPERVISOR: Associate Dean Irvin School of Education and Program Chair Doctorate in Leadership  

HSU CHRISTIAN STANDARD REQUIREMENT FOR EMPLOYMENT -  Candidate must profess a Christian Faith and commitment to Jesus Christ, maintain an active church involvement, and hold the Old Testament and New Testament to be sacred scriptures.

SCOPE : Secretarial responsibilities related to the Department and Doctoral Program

PHYSICAL REQUIREMENTS:  

  • The job is sedentary in nature. Must be able to sit for extended periods of time performing secretarial duties. Some minor lifting may be required (up to 20-25 pounds). 

TRAVEL/TIME REQUIREMENTS:  

  • A normal 20-hour week is required.

MINIMUM QUALIFICATIONS:   

  • Must have a desire to work with and provide a service to students, faculty, staff and the public. 
  • Must be able to maintain confidentiality concerning personal records and other private information.
  • A familiarity with academic programs is important.

ESSENTIAL DUTIES :

A.  Clerical assistance in academics and secretarial work

B.  Human relations/customer service with students, faculty, staff and the public

C.  Information collection and management

D.  Maintenance of academic records

E.  Logistical arrangements

Secretarial assistance for:  

  • Associate Dean Irvin School of Education and Program Chair Doctorate in Leadership

A.  Assists in communication with prospective students

B.  Assists in registration of students

C.  Collection of data for and maintenance of degree plans for students

D.  Maintains academic files of students

E.  Communication with students regarding academic matters

F.  Assists the faculty with information related to students, advising and rosters

G. Coordination of student information and registration with off-campus centers

H.  Coordination of information with other areas of the university concerning students

I.  Distribution of questionnaires and collection of data for forms related to accrediting agencies

J.  Compilation of program statistical data

K.  Logistical arrangements for selected events

L.  Follows the HSU Personnel and Safety Handbooks

M.  Performs other duties as assigned

1.  Interpersonal Skills.   A positive, team-oriented attitude and a strong work ethic is required.
2.  Document Skills.  Must be familiar with academic degree programs and processes, capable of interpreting transcripts, and capable of maintaining student degree plans.
3.  Computer Skills .  Must be computer literate and have experience with a variety of computer programs, word processing, spreadsheet, database, email/INTERNET, etc.
4.  Customer Service.   Must have customer service experience with the ability to meet, greet and assist the general public, alumni, students and HSU faculty and staff when they call on the phone or enter the office location.
5.  Communication.   Must be familiar with correspondence formats (letters, memos, etc.).  Must have ability to accept a draft document, complete a grammatical and word spelling review and prepare the document for supervisory approval using appropriate word processing application.  Must possess strong oral communications skills as well.
6.  Coordination of Information and Logistics.   Must be able to coordinate academic processes for students with various offices at HSU and be able to make logistical arrangements for certain events.
7.  Christian.   Preference for this position will be given to applicants who are professing Christians.
