• SOA Constitution

    Article 1- Name
    The official name of the organization shall be the Student Officials Association (SOA).

    Article 2- Purpose
    The purpose of this organization is to serve as the liaison between the recreational sports staff, the officials, and other sports organizations in the area of intramural sports; the program was developed to aid in the development of intramural officials through the refining of skills required for each respective sport, along with fostering the social interaction of each official.

    Article 3- Membership Elections
    Position will be based on self-nominations. The current board will select the incoming board. There will be formal elections. All officials are welcome to apply. The president will okay the final decision with his/her signature. The new executive board will be selected and appointed no later than Sept. 1st.

    Removal of Member
    A member can be removed if they fail to meet the requirements set upon them. If a member misses a set number of meetings, they will be removed immediately from the board. If a member fails to execute their duties when necessary, they can be removed only with the approval of the remaining board members. A unanimous vote will be needed to dismiss a board member due to their lack of mandatory participation.

    Voting
    Each member of the board will be given one vote each issue with the exception of the President. The President will vote only in the matter of a tie.

    Article 4-President
    The President, while at the top of the list is not considered a supreme power. The President probably has the most responsibilities and duties. The President will do everything in his/her power to uphold the mission statement of SOA.

    The President will:

    1. Hold meetings regularly. If a meeting is not called within two weeks of the last, the secretary or treasurer has the right to call a meeting.
    2. Hold (executive) board meetings regularly. This meeting will be held before or after other regular meetings. It will be called based on its need; it is not mandatory to call each week. If this type of meeting is necessary and not called, the secretary or treasurer has the right to call the gathering.
    3. Hold a mass meeting for all (officials) members at least once a month, more can be called when needed. If a meeting is not scheduled, the secretary or treasurer has the right to call a meeting.
    4. Execute all events and attend each meeting, unless duties are delegated to another board member. If the President were unable to attend, the duties will be given to another board member at the President's request.
    5. Entertain ideas from other members by listening intently and respecting the opinions of others. Then the President will examine all options before making a decision.

    Article 5-Secretary
    The main objective for the Secretary is to perform his/her executive duties while recording the on going at all meetings and activities.

    The Secretary will:

    1. Attend all meetings, activities, and events unless prior arrangements have been made.
    2. Document all happenings with the organization and distribute memos, notes, and messages to the appropriate members. The Secretary is responsible in keeping members up to date on the organization. An e-mail account has been set up to aid in the function.
    3. Distribute flyers, notes, advertisements, or whatever means necessary to inform the appropriate parties of all events.
    4. Hold an obligation to call a meeting in the event neither the President nor Treasurer organizes a meeting in the appropriated meeting time limit.

    Article 6-Treasurer
    The requirements for the Treasurer consists of monitoring the cash flow for the organization while being an active part of SOA.

    The Treasurer will:

    1. Attend all meetings, activities, and events unless prior arrangements have been made.
    2. Monitor the cash flow of SOA and will keep the ledger books updated. It is pertinent that the Treasurer has the exact figures of the account for each meeting. A formal document may be requested for executive meeting.
    3. Hold an obligation to call a meeting if in the event neither the President nor Treasurer organizes a meeting in the appropriated meeting time limit.

    Article 7-Advisory Board
    This board will be selected in the same manner as the executive board. There are five different positions that can be filled. These board members will be representatives for each of the following sports: Soccer, Flag Football, Basketball, Volleyball, and Softball.
    Each spot will be filled with a member who has either officiated that sport in the past or will officiate it in the future. One way or another, they must have officiated some sport before.

    These board members will be responsible for their respective sports; keeping the officials updated and help in planning special events. They are required to attend all meetings and special events for their individual sport. They are encouraged to participate in other sport's events. These board members are subject to the same general rules as the executive board and other members.
